Privacy Policy

Nicholas Raymond, MA, CCC-SLP LLC, doing business as Vista Speech & Swallowing (“we,” “us,” or “our”), operates this website at vistaspeech.com. This policy explains what information we collect from visitors to the site, how we use it, and the choices you have.

This policy applies to the vistaspeech.com website and its request form.

Information you send us through our request form, including the general reason you’re contacting us, is handled as protected health information under the Health Insurance Portability and Accountability Act (HIPAA) once we receive it. This policy describes how that information is collected through the website.

This policy does not govern the health information we create and maintain in the course of treating you. Once you become a patient, your protected health information is handled under HIPAA and is described in our Notice of Privacy Practices, which we provide at intake and on request.

Our request form asks you to choose a general reason for contacting us. Beyond that, please don’t send medical details, diagnoses, test results, or other clinical information through this website or by email. Those channels aren’t intended for clinical communication. If you’re already a patient, use the client portal. If you’re experiencing a medical emergency, call 911.

When you complete the request form on this site, we collect the information you enter:

• Whether you’re contacting us for yourself or for someone else, and if for someone else, the patient’s name and your relationship to them
• Your name, phone number, and email address
• How and when you’d like us to contact you
• The general reason for your inquiry, chosen from a short list (swallowing or feeding, voice, language, speech sounds, cognitive changes, or something else)
• How you heard about us and, if you choose to tell us, who referred you
• Your agreement to be contacted by phone, text, or email about your request

The reason you select is a general category, not a diagnosis. We ask only for what we need to return your call and determine whether we’re the right practice for you. We don’t ask for diagnoses, test results, insurance identifiers, or a Social Security number through this website.

Form submissions go directly to our practice email, which runs on Google Workspace under a business associate agreement as HIPAA requires. The contents of your submission aren’t sent to Google Analytics, Google Ads, or any other analytics or advertising service.

When you visit the site, some information is collected automatically:

• The pages you view and how long you spend on them
• The website that referred you
• Your browser type, device type, and operating system
• Your general location, at the region or country level, derived from your IP address

How much of this is collected, and whether cookies are used to collect it, depends on the choice you make in our cookie banner, described below.

Our website host. Our site runs on Squarespace, which uses necessary cookies to operate the site and remember your cookie choice. Squarespace also provides us with aggregate traffic reports, and it sets its own analytics cookies only if you accept them.

Google Analytics. We use Google Analytics 4 to understand how visitors find and use the site. How it works depends on your cookie choice:

• If you accept analytics cookies, Google Analytics sets cookies that let it recognize your browser from page to page and on later visits.
• Before you make a choice, or if you decline, Google Analytics still receives a basic page count without cookies, including the page address, the referring site, and general browser information. Without cookies, it can’t recognize you from one page to the next.

We’ve set up Google Analytics to collect as little as it can while still being useful to us. Google signals and advertising features are turned off, Analytics data isn’t shared with Google Ads or used to personalize ads, detailed location and device information isn’t collected, and email addresses and contact details that appear in page addresses are removed before they’re stored. Google states that Google Analytics 4 doesn’t log or store IP addresses. You can read Google’s practices at policies.google.com/privacy, and you can opt out of Google Analytics across all sites by installing the browser add on at tools.google.com/dlpage/gaoptout.

We don’t build advertising audiences, and we don’t share health information, including the reason you contact us, with any advertising platform.

We use the information described above to:

• Respond to your inquiry and schedule an initial conversation or evaluation
• Answer questions about our services, availability, and insurance
• Operate, maintain, and improve the website
• Measure, in aggregate, which search terms and referring sites bring us inquiries, so that we can improve the site
• Comply with legal obligations

We don’t sell your personal information, and we don’t share it with anyone for their own marketing purposes.

We share information only in these circumstances:

Service providers. We use vendors who process information on our behalf: our website host (Squarespace), our email and form processing provider (Google Workspace), our scheduling and practice management software, and Google Analytics. They may use the information only to provide services to us. Vendors that receive form submissions do so under business associate agreements.

Legal requirements. We may disclose information when required by law, subpoena, or other legal process, or when necessary to protect the rights, safety, or property of our patients, our staff, or the public.

Business transfer. If the practice is sold or merged, information may transfer as part of that transaction, subject to this policy and to HIPAA.

When you first visit, a cookie banner lets you accept all cookies, decline all non-essential cookies, or choose by category:

• Necessary cookies are always on. They keep the site working and remember your cookie choice.
• Performance and Analytics cookies are off until you turn them on. They let Squarespace and Google Analytics recognize your browser across pages and visits.
• Advertising cookies appear as a category in the banner, but this site doesn’t use them, so that setting has no effect.

You can change your choice at any time using the Cookie Preferences button at the bottom of every page. Most browsers also let you refuse or delete cookies, though blocking necessary cookies may affect how parts of the site work.

If your browser or an extension sends a Global Privacy Control signal, we treat that as a request to opt out of targeted advertising. We don’t use targeted advertising on this site.

We keep inquiry information for as long as needed to respond to you and to keep a record of our communications, and then for a reasonable period afterward in case you return. If you become a patient, your inquiry becomes part of your clinical record, which we keep as Colorado law and HIPAA require. Google Analytics data is deleted after two months. Squarespace keeps aggregate traffic reports according to its own settings.

You may ask us for access to the personal information we hold about you, to correct or delete it, to receive a copy of it, or to opt out of targeted advertising. Colorado law gives residents rights like these in many situations, and we honor these requests from anyone who asks, regardless of where they live. If you’re a patient, your rights over your health information are described in our Notice of Privacy Practices, and some records must be kept for the periods the law requires even if you ask us to delete them.

To make a request, email us at nicholas@vistaspeech.com. We’ll verify your identity before acting on a request. If we decline a request, you may appeal by replying to our response, and Colorado residents may contact the Colorado Attorney General’s office.

This website is intended for adults. When we provide pediatric feeding and swallowing services, a parent or guardian contacts us on the child’s behalf, and our form asks for the patient’s name and the adult’s relationship to them. We don’t knowingly collect information directly from children under 13. If you believe a child has submitted information to us, contact us and we’ll delete it.

We use reasonable administrative and technical safeguards to protect the information we collect. No website or email system is completely secure, which is why we ask you to keep clinical information out of these channels.

We may update this policy from time to time. When we do, we’ll revise the effective date at the top of this page. Material changes will be noted on the site.
